Welcome to Lingua CoPilot! This Privacy Policy describes how information (including personal data) is collected, used and shared through your institution's use of our website, services, and platforms (collectively, the "Service").

The Service includes two platforms:

• Lingua CoPilot (Language Platform): Language training and practice for educational institutions
• Lingua CoPilot Medical (Healthcare Platform): Clinical communication training with simulated patients, families, and healthcare colleagues

The Service is offered only through institutional agreements. We do not provide individual subscriptions or direct-to-consumer access.

If you are an individual user, your account is created and managed by your institution. Your institution controls access, configurations, and retention settings for your organization.

The Service is operated by Falconicx Technologies Private Limited ("Company", "we", "us", "our"). By using Lingua CoPilot, you agree to the collection and use of information in accordance with this Privacy Policy. If you do not agree with our policies and practices, please do not use our Service.

2.1 Information Provided by Institutions and Users

• Account Information: When institutions register for accounts, we collect information provided for account creation. Individual users may sign in via institutional credentials or single-sign-on services. When using Google or Microsoft single-sign-on, data those companies provide is also subject to their privacy policies.
• Voice Recordings: When using our platform features, we record voice input to provide the Service.
• Profile and Usage Information: Information such as language proficiency level, learning goals, preferences, performance analytics, conversation history, etc.
• Institutional Information: Information about the institution, authorized administrators, and institutional settings.

2.2 Information We Collect Automatically

• Usage Data: We collect information about how the Service is used, including features used, time and duration of sessions, and conversation scenarios.
• Device Information: We may collect information about devices used to access our Service, including device type, operating system, browser type, and IP address.
• Log Data: Our servers automatically record information created by use of the Service.

2.3 Cookies and Similar Technologies

We may use Cookies and similar tracking technologies to track activity on our Service and hold certain information. 4.1 Service Providers

4.2 Institutional Access

Institutional administrators have access to usage data and analytics for users within their institution for educational and administrative purposes.

4.3 Legal Requirements

4.4 Business Transfers

For conversation recordings and transcripts, we generally retain this data for 90 days after creation, after which they may be automatically deleted unless downloaded. Basic usage metadata may be retained longer for analytical and improvement purposes.

Institutional agreements may specify different retention periods for institutional data.

6.2 User Rights

Depending on location and institutional policies, users may have certain rights regarding their information:

• Access and Update: Users can access and update certain information through their account settings
• Data Portability: Users may have the right to request a copy of their data
• Deletion: In certain circumstances, users may request deletion of their information

7. Data Security

We have implemented appropriate technical and organizational measures to protect the security of information. However, please note that no method of transmission over the Internet or method of electronic storage is 100% secure.

8. Children's Privacy

Our Service is used by educational institutions for students of various ages. Institutions are responsible for ensuring appropriate consents and compliance with children's privacy regulations applicable to their user population.

We do not knowingly collect information from children outside authorized institutional use.

9. International Data Transfers

Information may be transferred to, and processed in, countries other than the country in which users reside. These countries may have data protection laws that are different from the laws of users' countries.

If you are located outside India and choose to use our Service, please note that we transfer and process data in India. By using our Service, you consent to these transfers.

10. Platform-Specific Considerations

10.1 Lingua CoPilot Medical

Healthcare institutions using the Medical Platform are responsible for:

• Ensuring compliance with applicable healthcare privacy regulations
• Obtaining appropriate consents for healthcare training data
• Implementing institutional policies for simulation data handling

The Medical Platform handles simulation data for training purposes only, not actual patient healthcare data.

10.2 Additional Agreements

Where required by institutional policies or regulations, separate Data Processing Agreements or Business Associate Agreements may be established to address specific compliance requirements.

11. Changes to This Privacy Policy

We may update our Privacy Policy from time to time. We will notify institutions of any material changes and update the "Last Updated" date on this page.

Institutions are advised to review this Privacy Policy periodically for any changes. Changes to this Privacy Policy are effective when they are posted on this page.
